1. Acceptance

By agreeing to this Agreement and Code of Practice, I acknowledge and accept the clauses herein. I have also read and understood the Terms and Conditions, Disclaimer, and Privacy Statement, accessible via the link at the bottom of this page.

2. Availability

I agree to make my Quality Room available to bona fide members of the scheme who possess credits.

3. Membership Requirements

To become a member, I must:

  • Have a details page as designed by Accommodation Swap for members to view my establishment.
  • Provide a high-quality service to fellow members.
  • Respond to email inquiries within 48 hours, unless there are mitigating circumstances.
  • Understand that Accommodation Swap operates on a cash-free basis except for additional services negotiated between host and guest, such as breakfasts, dinners, trips, excursions, etc.

4. Booking Commitments

I commit to honouring all agreed bookings and will not cancel them. Accommodation Swap does not guarantee acceptance of all booking requests. Members reserve the right to accept or refuse swaps based on their individual needs.

5. Cancellation Policy

If I (as guest) cancel a booking within 7 days of arrival, I understand that I will lose the credits deducted for the swap.

6. Legally Binding Contracts

Once a swap is accepted and confirmed, it constitutes a legally binding contract between the host and guest and cannot be cancelled unless mutually agreed upon. The only exceptions are personal emergencies or legitimate booking mistakes by the host, in which case the host agrees to arrange and cover the cost of alternative accommodation for the guest.

7. Booking Authority

Only the registered owner is authorised to make bookings and submit swap forms for friends or family. All correspondence regarding bookings must be initiated by the registered owner.

8. Initial Credits

The initial 6 credits awarded on registration are for starting purposes only. Additional credits are earned through:

  • Hosting other members.
  • Introducing a new member — 3 free credits awarded plus R400 cash.
  • Applying to purchase "top-up" credits (subject to management approval). Top-up credits will only be approved if you have hosted other members during the last 3 months or have made referrals to recruit new members.

9. Credits Value

Credits have no cash value and are earned through swapping only. If I fail to renew my subscription or resign from the scheme, I forfeit any accumulated credits.

10. Non-Transferability of Credits

Members are not allowed to sell or transfer credits to other members.

11. Cash-Free Stays

Accommodation Swap operates on a cash-free basis for accommodation. Meals and activities may be negotiated between host and guest and paid for either by additional credits or cash.

12. Security Responsibility

The registered person is solely responsible for the security of their reference number and absolves administrators of any liability if it is misused by third parties. The registered person — for both host and guest — shall be held responsible and liable in the event of misuse or the forwarding of an incorrect reference number for submission of swap forms.

13. Liability for Guests

The registered Quality Room owner is liable for any damages or misconduct caused by sponsored friends or family members during their stay.

14. Membership Cancellation

If I resign from Accommodation Swap, my membership will be cancelled and any accumulated credits will be forfeited. There are no refunds on membership fees or credits.

15. Subscription Fees

Subscription fees are due annually in May with a deadline of 1 June. A late penalty fee of 2% per month applies, and accounts may be suspended until payment is received. Members are responsible for renewing their fees in May regardless of whether they receive a renewal notice.

16. Administrators' Rights

The administrators reserve the right to:

  • Add to, alter, or amend any of the above clauses and the modus operandi as circumstances change.
  • Cancel membership without compensation or refund if false or fraudulent entries were made on registration or swap forms.
  • Terminate membership for abuse, swearing at, or insulting Accommodation Swap staff; bringing disrepute to Accommodation Swap; attempting to coerce members into joining an alternative platform; or non-compliance with terms and conditions.

17. Intellectual Property

The Accommodation Swap Worldwide site and all original content is the sole property of Accommodation Swap and may not be duplicated or used without prior written consent from the administrators.

18. Confidentiality

Client records are confidential and will not be divulged to any third party. Registered members are not permitted to forward other members' email addresses to third parties or share their email address outside of Accommodation Swap's internal usage.

19. Indemnity

By registering with and participating in Accommodation Swap Worldwide, I agree to indemnify the company, its employees, agents, and affiliates from any loss or damage, regardless of cause. I understand that participation in the programme and any arrangements for swaps are undertaken entirely at my own risk. I release the administrators from any liability related to the success, acceptance, or rejection of swap requests, as well as any disputes that may arise between guests and hosts.

20. Change of Circumstances

I agree to inform the scheme administrators of any changes to my circumstances, especially if I resign, sell, or transfer ownership of my establishment.

21. Acknowledgement

By registering, I acknowledge that I have read and understood all the above clauses and agree to accept and comply with the Terms and Conditions (Agreement and Code of Practice) outlined in this document.
